Productivity Tools to Build Your EcoSystem!

We all have that person in our lives who always seems to be getting things done. They have mastered the art of using productivity tools. Whether a team member, friend, or coworker, this is the person whose work is always done early. The one who somehow manages to finish hour-long tasks in, like, 20 minutes.

Who does that?

Yes, these people exist, always working at maximum efficiency. At the same time, I’m trying to figure out where I put my apple pencil so I can hack my way through my to-do list (seriously, if you’ve seen it, I’ll pay for information).

What do these highly productive people have in common? How do they do it? What does their ecosystem look like? Back in 2017, I wrote a post on how we are sabotaging our own efforts to be as productive as we can.

In short – I looked at five reasons:

  1. Messy workspace
  2. Not making time for yourself
  3. Letting email control your day
  4. Not focusing on HVA (High-Value Actions)
  5. Staying inside to focus & go outside for inspiration.


I still believe those are 5 areas we can directly and immediately impact and control. The question is “how”? Let’s face it, A LOT has changed in 5 years. As a matter of fact, there is a book from 2016 called Deep Work: Rules for Focused Success in a Distracted World, by Cal Newport.

In short, deep work is like a super power in our increasingly competitive twenty-first century economy. And yet, most people have lost the ability to go deep—spending their days instead in a frantic blur of e-mail and social media, not even realizing there’s a better way.

Therefore, I think it’s time for another technique and tools round-up.

But there is a catch, it’s easy to set productivity as a topic, but the term productivity means something different to me and is most likely different for you. For some people productivity is about staying ahead of the to-do list, for others it’s mastering the clock, and yet for others, it’s not about mastering time it’s mastering output. None of which are wrong answers. We’re different people, each with different ideas about getting the most important stuff done.

Maybe all it takes to be productive is a stack of sticky notes, a pen, and a checklist. For others, there may be a tech stack involved.

A tool for:

  • Managing email
  • Tracking time
  • Taking notes
  • Calendar tracking
  • Project management
  • Tracking tasks
  • Tracking passwords
  • Tracking what we eat
  • and the list goes on…



Too many tools
